What’s Changing?
We are streamlining the integration between ServiceNow and Microsoft Bookings to create a more seamless experience for managing your studio bookings. By leveraging the native features of Microsoft Bookings, such as rescheduling and cancelling appointments directly, we are making it easier for you to take control of your bookings without additional steps.
For the technically inclined, we have moved away from relying on email-based workflows to transfer information between systems. Instead, we are using Power Automate to establish direct communication between the Microsoft Bookings APIs and ServiceNow APIs. This ensures faster, more reliable data exchange and reduces the risk of errors.
On the front-end, we are simplifying how spaces are presented. Each studio is now identified by its title, such as STUDIO A: w/Technician, rather than by the type of booking (e.g., lecture capture, unit introduction, or custom session). Detailed descriptions for each booking type are available under the “Read More” section on the booking page, and you can also watch an explainer video about our spaces.
Additionally, we have introduced longer session options based on your feedback. You can now book sessions ranging from 1.5 hours to up to 3 hours. For those who feel confident working independently, Studio A is now available as a DIY option.
Why Are We Making These Changes?
On the front-end, our goal is to reduce confusion when selecting a space and provide greater flexibility in booking lengths to better suit your needs.
On the backend, these updates reduce manual intervention, allowing us to focus on delivering a smoother, more efficient experience for you. By automating processes, we are ensuring faster responses and fewer delays.
What Does This Mean for You?
When booking a studio, you will notice a refreshed interface with clearer options and descriptions. Your confirmation emails will also look slightly different, now including an ICS calendar file that you can add directly to your calendar.
Most importantly, you will have the ability to reschedule or cancel bookings directly within the system, giving you greater control and convenience.
When Is This Happening?
These updates will be rolled out in the next few weeks. Once everything is live, I will share another blog post to let you know that the changes are complete and ready for use.
